Electronic Signatures for Telecommunications

Faster rollouts and fewer lost forms. Landowners, business customers, field engineers and dealers sign from wherever they are, and you see exactly what is still outstanding.

Telecommunications at a glance

Leases without the paper chase

Landowners sign site agreements from an email link, with no account and no download.

Sign-off at the install

Hand a phone or tablet to the customer and capture their signature with In person Signing.

Scan paper in the field

Turn a paper job sheet into a PDF with automatic edge detection, up to 20 pages per scan.

A record of every step

Sent, Opened and Signed are logged with date and time in a downloadable audit trail.

Why telecom operators and providers use e-signatures

Telecommunications runs on agreements signed by people who are rarely in the same place. A new mast cannot go up until the landowner signs the site lease. A business fibre circuit cannot be ordered until the customer signs the service order. An installation is not closed until the customer signs that the line works. A new dealer cannot sell until their agreement is countersigned. Each of those signatures sits on the critical path of a rollout or a revenue date.

Paper slows every one of them. Site agreements get posted to rural landowners and wait on a kitchen table. Job sheets get damp in a van and are keyed in days later. SignPe moves those documents onto a phone or a browser. Upload the file — PDF, Word (DOC or DOCX) or a photo of a paper form — place the fields, and send it. Each signer gets an email with a Review & Sign Document button, and when everyone has signed, all parties receive the signed PDF and you can download the audit trail.

Network planners, site acquisition agents, field engineers and account managers can all work from the web app or the SignPe app for iOS and Android, on one account synced across every device.

Site leases and access agreements with landowners

Tower sites, rooftop installations, small cells and equipment cabinets all depend on agreements with property owners: ground leases, rooftop licences, access and wayleave agreements, and the renewals and amendments that follow them for decades. The landowner may be a farmer, a building management company or a group of co-owners, and none of them want to deal with a printer.

  • Every owner on one document. Add each co-owner as a signer — there is no limit on signers per document — and give each their own Signature, Full Name and Date fields.
  • Plans and schedules included. Pages are unlimited, so the site plan, access schedule and rent schedule can go out as part of the same file.
  • Initials on the pages that matter. Place Initials on pages carrying the access rights, rent review and termination terms, so it is clear each one was seen.
  • Sign at the site visit. When a site acquisition agent meets the landowner in person, In person Signing lets them sign directly on the agent’s phone or tablet.

Property documents can have their own rules

Leases are routinely signed electronically, but some property agreements must be registered, stamped or witnessed under local law, and the rules vary by country and state. Confirm with your property lawyer which site agreements can be signed electronically before relying on e-signature for them.

Enterprise service orders and business connection agreements

Business connectivity — leased lines, fibre circuits, SIP trunks, mobile fleet contracts, managed network services — is usually sold on a service order that references master terms and a service schedule. The customer may need an IT lead and a director to sign, and your side may need a countersignature before provisioning can begin.

  • Countersigning in order. Use Set signer order so the customer signs first and your authorised signatory countersigns after. The next signer is emailed automatically when it is their turn.
  • The details provisioning needs. Add Company, Designation, Email, Date and Text fields so site addresses and contact details are captured in typed text rather than handwriting.
  • Account team as observers. Copy the account manager, provisioning or billing as observers so they follow progress without signing.
  • Know what is stuck. The Waiting for Others filter shows every order still waiting on a customer, and the Opened status tells you whether they have seen it.

When an order stalls, choose Remind and every signer who has not signed yet receives an email; signers with the SignPe app also get a push and in-app notification. See signing reminders.

Installation and service completion sign-offs

The last step of most installations is a customer signature: confirmation that the equipment was installed, the service tested and the premises left as they were found. On paper, that sign-off often arrives back at the office days later, if it arrives at all — and a missing sign-off is a weak position when a customer later disputes an installation date or a charge.

  • Sign on the engineer’s device. In person Signing lets the customer sign directly on the engineer’s phone or tablet, and the signature is recorded in the audit trail like a remote signature.
  • A natural signature on glass. The drawing pad is speed-sensitive, so a finger signature looks like the customer’s own rather than a jagged line.
  • Paper job sheets become PDFs. Where a contractor still uses paper, the SignPe app’s Scan option captures up to 20 pages with automatic edge detection, and several photos can be combined into one PDF automatically.
  • Checkmarks for each test. Place Checkmark fields beside each item the customer confirms, and use Shape fields to circle an option on a printed form.

Dealer, franchise and contractor agreements

Telecom providers work through a wide network of third parties: retail dealers and franchisees, installation subcontractors, tower and civil works contractors, and equipment suppliers. Each relationship starts with an agreement, and many are renewed every year.

  • Company stamps where they are expected. Upload your company stamp once and place a Stamp field wherever your agreements carry one.
  • Delegation when a signatory is away. A regional manager can delegate their signing to a colleague in the same organisation, who signs on their behalf; the delegate is notified.
  • Declines handled quickly. If a dealer disagrees with a term, they can choose Decline to sign? and you are notified straight away, so you can talk it through and send a corrected version.
  • Contracts from cloud storage. Import agreements directly from Dropbox, Google Drive, OneDrive or Box.

A typical telecom signing workflow

  1. Prepare the document

Upload the site lease, service order or dealer agreement, or scan a paper form with the SignPe app. Save it as a draft while details are checked — drafts don’t use a document credit.

  2. Place and assign fields

Drag Signature, Initials, Full Name, Company, Date and Checkmark fields onto the page and assign each to the landowner, customer or your own signatory.

  3. Add signers and observers

Add each signer, set the order if a countersignature must come last, and copy the account manager or site acquisition lead as observers.

  4. Send or sign in person

Email the document for remote signing, or choose In person Signing and hand the device to the signer on site.

  5. Keep the record

When everyone has signed, all parties receive the signed copy. Download the audit trail PDF and file it with the site or customer record.

Compliance considerations for telecom documents

Commercial agreements, service orders and supplier contracts are widely signed electronically, and e-signatures are recognised under laws including the US ESIGN Act and UETA, the EU’s eIDAS regulation and India’s Information Technology Act 2000. Telecommunications is regulated, though: subscriber verification and customer-onboarding rules are set by telecom regulators and differ by country. SignPe is not a subscriber verification system, so confirm with your regulatory team or legal adviser which documents can be signed electronically and what else they require. The legality guide covers India in detail.

  • An audit trail per document. The downloadable audit trail shows the document ID, sent and completed dates, and when each signer was emailed, viewed and signed.
  • Access limited to participants. Only the sender, signers and observers on a document can open it.
  • Encryption in transit and at rest. Documents travel over HTTPS/TLS and are stored in encrypted cloud storage — see eSignature security.
  • Aadhaar eSign in India. Aadhaar eSign adds OTP verification through eMudhra and a PKI-signed PDF for agreements where signer identity matters.

Customer and landowner documents contain personal information. Apply your own data-handling and retention policies to the signed copies you download.

How to collect an installation sign-off on site

  1. Open the sign-off form

In the SignPe app, upload the sign-off form from your device or cloud storage, or scan the paper job sheet.

  2. Place the fields

Add the customer’s Signature, Full Name and Date fields, and a Checkmark beside each item they confirm.

  3. Choose In person Signing

Select In person Signing so the customer can sign on your phone or tablet rather than by email.

  4. Hand over the device

The customer reviews the form, completes their fields and signs with their finger.

  5. Keep the signed copy

The signed PDF and its audit trail are saved to your account, synced to the web app for the office.
