Why finance teams move signing online
Financial paperwork has two awkward properties at once: it needs several people to sign, and it needs to be provable afterwards. A home loan can involve a borrower, a co-applicant, a guarantor and a credit officer. An advisory agreement may need the client, a joint account holder and the adviser. On paper, every extra signer is another courier, another branch visit or another scanned page that arrives crooked and missing its last signature.
SignPe replaces that loop with one request. You upload the document, place a signature field for each person, set the order they sign in and send. Each signer gets an email with a Review & Sign Document button and signs in the browser — on a laptop or a phone, with no account and nothing to download. You watch the status move from Sent to Opened to Signed, and when the last person signs, everyone receives the completed PDF.
What this page covers
How SignPe fits loan documents, account opening, investment agreements and compliance-sensitive processes. It describes product features, not legal or regulatory advice — your compliance team decides which documents your institution can sign electronically.
Loan document signing
Mortgage approvals and personal loan agreements are where sequential signing earns its keep. Use Set signer order and SignPe makes sure nobody signs out of turn: the borrower signs first, the co-borrower second, the guarantor third, and your approving officer countersigns last. Anyone who opens the document early sees “Waiting for <name> to sign” rather than a signature box, and the next person receives an “it’s your turn” email as soon as the previous signature lands.
- Sanction letters and loan agreements — signature and initials fields on every page that needs them, with Apply to all fields of the same type so a signer initials a 30-page agreement in one step.
- Key fact statements and repayment schedules — a Date field in the format your documents use (DD/MM/YYYY, MM/DD/YYYY, YYYY-MM-DD and more) so every signature is dated consistently.
- Guarantor undertakings — add the guarantor as a signer with their own fields, so their signature only ever appears where you placed it.
- Internal sign-off — add a branch manager or credit head as an observer so they follow progress without being asked to sign.
Unlimited pages and unlimited signers apply on every document, including the three free ones, so a long loan file with four parties is still one document. See multiple signers for how ordering, observers and decline work in detail.
Account opening and customer onboarding
Account opening forms, mandates and customer declarations are often signed by people who will never create a SignPe account — and they shouldn’t have to. New customers sign as guests: they open the email, accept the electronic-records consent screen and sign. There is no login to set up and no app to install, which matters when the customer is mid-way through your onboarding and could easily give up.
Collect the details you need on the form itself. Full Name, Email, Company and Designation fields fill in from the signer, Text fields capture anything else (account type, nominee name, branch), and Checkmark fields record declarations and opt-ins. Supporting documents can come in as photos or PDFs: SignPe accepts PDF, Word (DOC, DOCX) and images (JPG, JPEG, PNG) up to 20 MB, and several photos combine into one PDF automatically.
For walk-in customers at a branch, In person Signing lets you hand a tablet across the desk so the customer signs on the spot, with the same audit trail as a remote signature. In India, Aadhaar eSign adds OTP verification through eMudhra and produces a PKI-signed PDF — useful where your onboarding process asks for a stronger form of signer identity. Whatever KYC checks your institution runs remain your own process; SignPe records who signed and when.
Investment agreement management
Portfolio management agreements, risk profiling questionnaires, mandates and trading authorisations all share the same need: the client signs, the firm signs, and both sides keep a copy they can rely on. SignPe sends the completed PDF to every signer automatically when the last signature is added, so nobody has to chase “the final version” by email.
- Joint holders each get their own signature fields and sign in the order you choose.
- Advisers and relationship managers can save their signature, initials and the firm’s stamp to My Signatures, then apply them in a tap on every agreement they countersign.
- Compliance or operations can be copied as observers, receiving updates as the document moves through each status.
- Delegation lets a relationship manager who is away hand their signing to a colleague in the same organisation, who can sign on their behalf. The delegate is notified, and the document still moves.
When terms change after you’ve sent an agreement — a fee schedule revised, a mandate amended — void the document so the old version can’t be signed, then send the corrected one as a new request with its own clean history.
Banking compliance and the audit trail
Electronic signatures are recognised under the US ESIGN Act and UETA, the EU’s eIDAS regulation and India’s IT Act 2000. What makes an electronically signed financial document easy to stand behind is evidence: who received it, when they opened it and when they signed. SignPe records every action with its date and time, and the audit trail PDF collects it in one file — the document ID, sent and completed dates, and each signer’s emailed, viewed and signed times.
| What you need to show | Where SignPe records it |
|---|---|
| When the document was sent | Audit trail PDF and the Activity timeline |
| That each signer received and opened it | Emailed and viewed times per signer |
| When each signer signed | Signed time per signer, plus a Signed status |
| That a request was withdrawn | Void status and the void entry in the history |
| That someone refused | Declined status, with the sender notified |
Security sits underneath: HTTPS/TLS on every connection, API request payloads additionally encrypted with AES-256, documents kept in encrypted cloud object storage, and only the document’s participants able to open it. Read more on the e-signature security page, and see the legality guide for how e-signatures are treated in India.
A typical loan signing workflow
Upload the loan file
Upload the agreement as a PDF or Word file, or import it from Google Drive, OneDrive, Box or Dropbox. On mobile you can scan a signed page with automatic edge detection.
Place fields for each party
Drag Signature, Initials, Date and Full Name fields onto the pages and assign each one to the borrower, co-borrower, guarantor or officer.
Set the signing order
Choose Set signer order and arrange the signers. Add your branch manager as an observer. If you need to pause, save it as a draft and send later.
Send and track
Each signer is emailed in turn. Watch the status in your Documents list under Waiting for Others, and use Remind to nudge anyone who has not signed yet.
File the completed copy
When the last signature is added, everyone receives the signed PDF. Download the audit trail and keep it with the loan file.
Getting started without disrupting your process
Start with a single document type — vendor contracts or internal approvals are a gentle first step — before moving customer-facing paperwork. The free plan gives your team three real documents with unlimited pages and signers, no credit card needed, and drafts don’t use one. When you’re ready to roll out, compare plans and pricing.
- Agree internally which documents may be signed electronically and which need Aadhaar eSign or wet ink.
- Save your officers’ signatures and the branch stamp once, so countersigning is quick.
- Use observers for oversight rather than adding reviewers as signers.
- Keep the audit trail PDF alongside every completed agreement.
