What status tracking gives you
Once you send a document for signature, the most useful question is also the simplest: where is it now? SignPe answers it without you having to ask anyone. Every document carries a live status, and every signer on it carries their own — so a contract with three signers tells you that one has signed, one has opened it and one hasn’t looked yet.
Each change is recorded with its date and time. That turns a vague “it’s with the client” into something you can act on: the client opened the agreement on Tuesday morning and hasn’t signed since. You know whether to wait, send a reminder or pick up the phone.
Tracking is built into every document you send — there is nothing to switch on, no add-on to buy and no separate dashboard to learn. It is part of how SignPe works on the web, iOS and Android, and the same history shows on every device you sign in on.
What each status means
These are the statuses you will see against a document or a signer, in roughly the order they happen:
| Status | What it means |
|---|---|
| Sent | You have sent the document for signature and SignPe has emailed it to the signer. |
| Received | The document has reached the signer and is waiting in their inbox or documents list. |
| Opened | The signer has opened the document and looked at it. |
| Saved | The signer has saved their progress on the document but has not finished signing. |
| Signed | The signer has completed their fields and signed. Once every signer has signed, the document is complete. |
| Declined | The signer chose not to sign. You are notified straight away. |
| Void | The sender cancelled the request. The signing link no longer works and the document cannot be completed. |
On top of the per-signer statuses, your Documents list groups everything into the three states you actually care about day to day: Action Required (you need to sign), Waiting for Others (you have done your part and are waiting on someone else) and Signed (everyone has signed and the agreement is complete).
Completed means everyone
A document only moves to Signed when every signer on it has signed. Observers — people copied on the document to follow along — don’t sign, so they never hold a document up.
Where you see the history
SignPe keeps the detail one tap away, wherever you are working:
- On the web app, open a document’s info drawer to see its Activity timeline — each event in order, with the date and time it happened. The timeline is visible to the sender and to admins.
- On iPhone and Android, open the document’s Document History page for the same story: every status, with its date and time.
- In your Documents list, filter by Draft, Action Required, Waiting for Others or Signed to narrow hundreds of documents down to the handful that need attention.
- In your inbox, SignPe emails you when each signer signs, when someone declines and when the agreement is completed — so you hear about the important moments without opening the app.
The audit trail: a record you can keep
Status tracking tells you what is happening now. The audit trail is the permanent record of what happened. For every document, you can download an audit trail PDF that sets out the document ID, the date it was sent, the date it was completed, and — for each signer — when they were emailed, when they viewed the document and when they signed.
Keep it alongside the signed copy. If a signer later asks when they agreed, or an auditor wants to see how a contract was executed, the answer is already written down, with times attached. Electronic signatures are recognised under the US ESIGN Act and UETA, the EU’s eIDAS regulation and India’s IT Act 2000, and a clear record of who signed and when is part of what makes an e-signed agreement easy to stand behind. The legality guide covers the detail for India.
Actions that end a signing process are recorded too. If you void a document, or a signer declines, that event sits in the history next to everything else, so the record stays complete even when an agreement doesn’t go ahead.
Who it helps, and how
Anyone who sends more than the occasional document gets time back from tracking, but some situations make it indispensable:
- Sales and account teams closing a deal before month end can see that a quote was opened yesterday and is still unsigned — the right moment to follow up.
- HR teams sending offer letters and onboarding paperwork know which new starters have signed and which still need a nudge before day one. See e-signatures for HR.
- Property managers and agents chasing a lease with several tenants can see exactly which tenant is the holdout. See e-signatures for real estate.
- Finance and legal teams collecting signatures in a set order can tell whose turn it is, and keep a dated record of each signature for the file.
- Freelancers and small businesses stop guessing whether a client has seen the contract, and stop sending “just checking in” emails into the void.
Tracking versus the paper-and-email way
Send a contract as an email attachment and you lose sight of it the moment it leaves your outbox. You don’t know whether it was delivered, opened, printed or forgotten. When it comes back — if it comes back — you have a scanned copy and no record of when anyone actually signed.
| Email attachment or paper | SignPe status tracking | |
|---|---|---|
| Did they get it? | Unknown until they reply | Shown as Received |
| Have they read it? | Unknown | Shown as Opened, with date and time |
| Who is still to sign? | Ask each person | Listed per signer on the document |
| When was it signed? | Whatever date was handwritten | Time-stamped automatically |
| A record for later | A scan, if you kept one | Downloadable audit trail PDF |
Getting the most out of tracking
- Check Opened before you chase. If a signer hasn’t opened the document, the email may be buried; if they opened it days ago, they may have a question. The right follow-up is different.
- Use reminders, not new requests. When a signer stalls, the one-click Remind button emails everyone who hasn’t signed yet, without creating a second copy of the document.
- Work from the filters. Start the day with Action Required, then glance at Waiting for Others. It is a faster to-do list than any inbox search.
- Download the audit trail when a deal closes. File it with the signed PDF so the two always travel together.
- Add observers instead of forwarding. Copy a manager or colleague as an observer and they receive updates directly — see multiple signers and observers.
