Why productions and media companies use e-signatures
Media work is built on permissions. A shot cannot be used without a release from the person in it. A location cannot be dressed until the owner has signed. A freelancer cannot be paid cleanly without a signed deal memo, and a finished programme cannot be sold until the licence or distribution agreement is countersigned. Much of that paperwork is collected in car parks, green rooms and hotel lobbies, by people who have twenty other jobs that day.
Paper fails in exactly those conditions. Release forms get rained on, deal memos sit in a runner’s bag, and a signature page faxed from another time zone arrives with half the clauses cut off. When the edit is locked and someone asks “do we have a release for this person?”, the answer depends on finding a sheet of paper.
SignPe moves those agreements onto the devices the crew already carries. You upload the form — PDF, Word (DOC or DOCX) or a photo of a paper form — place the fields each person needs to complete, and either send it by email or hand the device over to sign in person. Production offices can work from the web app, and anyone on location can use the SignPe app for iOS and Android. One account works across every device, and documents sync between them.
Talent and appearance releases: signed on set, before the camera rolls
Contributor releases, appearance releases, audience waivers and interview consent forms all have one thing in common: they need to be signed while the person is still in front of you. Chasing a release after the shoot is slow at best, and at worst the person has gone and the footage cannot be used.
- In person Signing. Open the release on your phone or tablet, choose In person Signing, and hand it to the contributor to sign on the screen. In the mobile app the option is In-Person Signing. The signature is recorded in the same audit trail as a remote one.
- A pen that feels like ink. The drawing pad is speed-sensitive, so a signature drawn with a finger in a hurry still looks like a signature. Choose black, blue or red ink, and Clear to start again.
- Capture the details on the page. Add Full Name, Email, Date and Text fields for the contributor’s details, the programme title or the scene, and Checkmark fields beside each permission they are granting.
- Remote contributors too. Someone interviewed over a video call can sign the same release by email: they open the Review & Sign Document link, accept the electronic-records consent screen and sign as a guest, with no account to create.
Prepare releases before the shoot
Set up your release form with all its fields and save it as a draft — drafts do not use a document credit. When the contributor arrives, open it from the Drafts folder and hand the device over.
Crew deal memos and freelancer contracts: hired before the first call time
Most of a production’s crew are freelancers, booked days or hours before they are needed and often working on several jobs at once. A deal memo that confirms the rate, the dates, overtime terms and the buyout of their work protects both sides, but only if it is signed before the job starts rather than reconstructed afterwards.
- Sign from a phone. Crew sign in any modern browser or on the SignPe app — no printer, no scanner and no account needed.
- Producer first, crew second. Use Set signer order so the producer or line producer signs first and the crew member is emailed automatically the moment it is their turn. Anyone who opens it out of turn sees “Waiting for <name> to sign”.
- Rates and dates in the document. Use Text fields for the day rate, kit fee or booking dates, in font sizes from 12 to 36, and Initials on the pages that carry rights and buyout terms.
- Copy the production accountant. Add the production accountant or coordinator as an observer, so they see each memo as soon as it is signed without being asked to sign it.
A crew member who has not got round to signing can be chased with one click: choose Remind and every signer still pending receives an email, plus a push and in-app notification if they use the SignPe app. Automated reminders also nudge signers so agreements do not stall. Confidentiality agreements for scripts and unannounced projects work the same way — see our guide to signing an NDA online.
Location agreements: owner sign-off without a second visit
Location agreements are negotiated on the doorstep. The location manager has walked the property with the owner, agreed the fee, the access hours and which rooms are off limits — and now needs it in writing before the art department arrives.
- Sign on the spot. Use In person Signing so the owner signs on your tablet before you leave the property.
- Mark up the plan. Shape fields — Circle, Square, Rounded, Star, Pentagon or Hexagon — let you highlight the rooms, parking bays or grounds the agreement covers on a site plan or photo. See add text and shapes.
- Scan the paper ones. If an owner has already signed a paper form, or hands you a floor plan, the SignPe app’s Scan option turns it into a PDF with automatic edge detection, up to 20 pages per scan.
- Joint owners. Add every owner or managing agent as a signer — there is no limit on signers per document.
If the dates change after the agreement has gone out, void the document — the signing link stops working and the owner is told — and send the corrected version as a new request.
Licensing, distribution and co-production agreements
Licence agreements, sync and music licences, distribution deals and co-production agreements usually pass between companies in different cities or countries, each with its own authorised signatory and its own lawyers watching the process. Getting a single, complete signed copy back to everyone is often slower than negotiating the terms.
| What the deal needs | How SignPe handles it |
|---|---|
| Licensor signs before the licensee countersigns | Set signer order, with each party emailed in turn |
| Business affairs and counsel kept informed | Add them as observers — they get updates but never sign |
| A company seal on the signature page | Apply your company stamp from your saved library |
| The signatory is at a festival or on a shoot | Delegation lets a colleague in the same organisation sign on their behalf |
| One final copy for every party | Everyone receives the signed PDF when the last signature lands |
Contracts that already live in the cloud can be imported directly from Dropbox, Google Drive, OneDrive or Box rather than downloaded and re-uploaded — see cloud storage integration. Uploads can be up to 20 MB, which covers long agreements with schedules attached.
A typical media signing workflow
Prepare the document
Upload the release, deal memo or agreement, import it from your cloud storage, or scan a paper form with the SignPe app. Save it as a draft until the details are confirmed.
Place the fields
Drag Signature, Initials, Full Name, Date, Text and Checkmark fields onto the page and assign each to the contributor, crew member, owner or your own signatory.
Choose how it is signed
Use In person Signing on set or on location, or Set signer order to send it by email. Add producers, coordinators or business affairs as observers.
Track progress
Follow each document from Sent to Opened to Signed in the Activity timeline on the web or the Document History page on mobile, and use Remind if someone stalls.
Keep the record
When everyone has signed, all parties receive the signed copy. Download the audit trail PDF and keep it with the production’s clearance files.
Compliance considerations for media documents
Electronic signatures are recognised for most commercial agreements under laws such as the US ESIGN Act and UETA, the EU’s eIDAS regulation and India’s Information Technology Act 2000. Clearance practice is a different question: broadcasters, insurers, guilds and unions can each have their own requirements for releases and contracts, and releases involving minors usually need a parent or guardian to sign. Confirm with your legal or business affairs adviser what each production requires. Our legality guide covers the Indian position in detail.
- An audit trail per document. The audit trail PDF shows the document ID, sent and completed dates, and when each signer was emailed, viewed and signed.
- Consent to electronic records. Guest signers accept an electronic-records consent screen before they sign.
- Only participants can open a document. Unreleased scripts, rates and deal terms are visible only to the sender, signers and observers.
- Encryption in transit and at rest. Documents travel over HTTPS/TLS and are stored in encrypted cloud storage — see eSignature security.
- Aadhaar eSign in India. For Indian productions, Aadhaar eSign adds OTP verification through eMudhra and a PKI-signed PDF with a SHA-256 document hash and an evidence certificate.
Releases and crew contracts hold personal data, so apply your company’s own retention and data-protection policies to the signed copies and audit trails you download.
How to collect a talent release on set
