Why one signature is rarely enough
Most people think of their signature as one thing. In practice, the paperwork in a working week asks for several. A board resolution wants your full, formal signature. A 30-page lease wants your initials on every page. A purchase order from your business wants the company stamp. A quick acknowledgement to a supplier might just need a neat typed signature.
Recreating each of those every time you sign is slow, and it leads to marks that look slightly different from one document to the next. SignPe keeps them all in a personal library called My Signatures, so you create each mark once and reuse it whenever you need it.
- Formal and everyday signatures. A full signature for contracts and a shorter one for routine approvals.
- Initials for long documents. Up to two letters, ready for every page that asks for them.
- Personal and company stamps. Upload an image of your business stamp and place it next to your signature.
- Different scripts. A signature in English for one set of documents, and one in another script you sign in for others.
- Drawn and typed versions. A hand-drawn signature for agreements, a typed one for internal paperwork.
Three ways to create a signature
Every signature in your library can be made the way that suits you. On the web app the signature window has three tabs — Type, Draw and Upload — and the mobile app offers the same three options.
| Method | How it works | Good for |
|---|---|---|
| Type | Enter your name and choose from six script fonts | A clean, consistent signature in seconds |
| Draw | Sign with your mouse, trackpad, finger or stylus, in black, blue or red | A signature that looks like your own hand |
| Upload | Add a JPG or PNG image of your signature, up to 5 MB on the web | Reusing a signature you have already scanned |
On a phone, Upload lets you take a photo with the camera or pick one from your gallery — handy if you would rather sign on paper once and photograph it. The mobile app also has an optional “Add watermark (footer) to signature” setting when you create a signature.
Drawing on a touchscreen uses SignPe’s smooth pen brushes: the line responds to your speed, so slower strokes come out thicker and stroke ends taper the way ink does.
Initials and stamps, kept separately
Signatures, initials and stamps each live in their own list. On the web, the library has Add Signature, Add Initials and Upload Stamp buttons. On mobile you will see All Signatures, All Initials and All Stamps. Keeping them apart means a stamp never lands in a signature box by mistake, and you are not scrolling past your initials to find your stamp.
- Initials take up to two letters, sized for the small boxes that sit at the foot of each page.
- Stamps are images you upload — typically your company seal, a department stamp or an official mark your organisation uses on paperwork.
- When a sender places an Initials or Stamp field on a document, SignPe offers marks from the matching list.
Tip: upload a clean stamp image
Stamp your company seal on plain white paper, photograph it in good light, and crop tightly before uploading. A crisp image looks far more professional on the signed PDF than a shadowy photo of a stamp on a desk.
Set a default and sign faster
Pick the signature you use most and choose Mark as Default. From then on, it is the one SignPe offers first when you tap a signature field. You can do the same for your initials and stamps, and change the default whenever you like.
For documents with many fields of the same kind, use “Apply to all fields of the same type”. One tap fills every initials box assigned to you, or every signature box, with the mark you chose. On a long lease or loan agreement, that turns several minutes of tapping into a couple of seconds.
Marks you no longer use can be removed with Delete. Deleting a mark from your library does not change documents you have already signed — those keep the signature exactly as it was applied.
Your library follows you to every device
My Signatures belongs to your SignPe account, not to one device. Draw a signature on your phone with your finger and it is waiting for you on the web app the next time you sign at your desk. Upload a company stamp on your laptop and it is ready in the mobile app when you approve a document on the train. See how SignPe works on iOS, Android and web for more on using one account everywhere.
Saved marks also make self-signing much quicker. Choose “I’m the only signer” on the web — or “Self-Signed Document” on mobile — place your fields, and fill them from your library without creating anything new.
Saved signatures compared with the old way
Before e-signatures, “keeping a signature on file” usually meant a scanned image in a folder somewhere, pasted into a Word document and dragged around until it roughly lined up. It looked different every time, it was easy to copy, and it left no record of who placed it or when.
- Consistent marks. The same signature, the same size and style, on every document.
- Placed in the right box. Signatures go into the fields the sender assigned to you, not wherever an image happens to land.
- A record of every signature. Each one is logged with the date and time in the document’s audit trail.
- No loose image files. Your marks live in your account, not in a downloads folder that anyone with your laptop can open.
Electronic signatures are recognised under the US ESIGN Act and UETA, the EU’s eIDAS regulation and India’s IT Act 2000. For India-specific detail, see the legality guide.
