Why consultants and professional services firms use e-signatures

A consulting engagement is a chain of agreements. An NDA before the client shares anything. A proposal or engagement letter before work starts. A statement of work for each phase. Change requests every time the scope moves, and an acceptance certificate before the final invoice. Each link in that chain needs a signature from someone senior and busy — on both sides — and each one that stalls holds up either the work or the money.

Corporate clients add another layer: approvals often need a project sponsor, procurement and finance, sometimes legal, and they may sign in a fixed sequence. Collecting that by email means forwarding PDFs, merging signature pages and hoping nobody signed an old version.

SignPe turns each agreement into one document with everyone’s fields on it. You upload the PDF or Word file, place the fields for each signer, set the order and send. Each signer receives an email with a Review & Sign Document button and signs in their browser or on the SignPe app — no account needed. When the last signature lands, every party receives the completed PDF automatically.

NDAs and confidentiality agreements: signed before discovery begins

Clients will not share their numbers, their systems or their strategy until a confidentiality agreement is in place, and a first meeting can easily slip a week waiting for one. An NDA is usually short and standard, which makes it exactly the kind of document that should take minutes, not days.

  • Mutual NDAs in one document. Add a signer from each side and let both sign the same copy — no swapping counterparts.
  • Guest signing for the client. The client’s contact opens the link, accepts the electronic-records consent screen and signs. Nothing to install.
  • Associates and subcontractors too. If you bring in an associate or a specialist subcontractor, send them the same confidentiality terms and keep their signed copy with the engagement.
  • Reuse your standard NDA. Keep it in your cloud storage — Dropbox, Google Drive, OneDrive or Box — and import a fresh copy for each client.

Our guide to signing an NDA online covers the process step by step.

Engagement letters and statements of work: every client approver, in order

The engagement letter or master services agreement sets the commercial terms; the statement of work defines what will actually be delivered, by when and for how much. Both often need several signatures from the client and at least one from your firm.

  • Set signer order. Have the project sponsor sign first, then procurement or finance, then your engagement partner. Each signer is emailed automatically when it is their turn, and anyone who opens it early sees “Waiting for <name> to sign”.
  • Observers for the engagement team. Copy the engagement manager or the client’s PMO as observers. They receive updates on progress but are never asked to sign and never block completion.
  • Fields for the details. Company and Designation fields record who signed and in what capacity; Text fields capture a purchase order number or start date; Initials go on pages with fees, payment terms and liability caps.
  • Your firm’s stamp. Where your agreements carry a company stamp, upload it once and apply it from your saved library alongside your signature.

Proposals under negotiation can wait in your Drafts folder — drafts do not use a document credit — and go out the moment the client agrees. See save documents as drafts.

Change requests: scope changes agreed in writing as they happen

Scope creep rarely arrives as a formal request. It arrives as “while you’re at it, could you also…”. A firm that does the extra work on a verbal yes ends up arguing about it at invoice time. A signed change request settles it before the work starts.

  • Send it the same day. Write the change request, upload it and send it while the conversation is fresh. The client can sign on their phone between meetings.
  • Spell out the impact. Use Text fields for the additional fee, the revised milestone dates and the change reference, in font sizes from 12 to 36.
  • Know when it has been seen. The Opened status tells you the sponsor has looked at it; if they go quiet, Remind emails them with one click.
  • Withdraw and resend. If the estimate changes before it is signed, void the document — the link stops working and the signer is told — and send the corrected request.

If the client says no

A signer can choose Decline to sign? if they do not accept the change. You are notified straight away, so the conversation about scope happens now, not after the extra work is done.

Deliverable acceptance and project sign-off

Many engagements bill on acceptance: a milestone payment is due once the client confirms a deliverable meets the agreed criteria. An acceptance certificate that sits unsigned is an invoice that cannot be raised.

Date fields support DD/MM/YYYY, MM/DD/YYYY, YYYY-MM-DD, DD-MM-YYYY and “MMMM DD, YYYY”, so the acceptance date matches the convention of the client’s country. Read more about document status tracking.

A typical consulting signing workflow

  1. Prepare the agreement

Upload the NDA, engagement letter, statement of work or change request as a PDF or Word file, or import it from your cloud storage. Save it as a draft while terms are agreed.

  2. Place and assign fields

Drag Signature, Initials, Company, Designation, Date, Text and Checkmark fields onto the page and assign each to a client approver or your own partner.

  3. Set the order and copy the team

Choose Set signer order to follow the client’s approval chain, with your partner last. Add the engagement manager as an observer.

  4. Send and follow up

Track Sent, Received, Opened and Signed in the Activity timeline, and use Remind for anyone who has stalled.

  5. File the record

When everyone has signed, all parties receive the signed copy. Download the audit trail PDF and keep it with the engagement file.

When the partner is travelling

A user can delegate their signing to a colleague in the same organisation, who can sign on their behalf; the delegate is notified, so a statement of work does not wait for someone to land.

Compliance considerations for professional services documents

Electronic signatures are recognised for most commercial agreements under laws such as the US ESIGN Act and UETA, the EU’s eIDAS regulation and India’s Information Technology Act 2000. Regulated professions, public-sector clients and some procurement processes can set their own requirements for how contracts are signed, so confirm with your legal adviser or the client’s procurement team what applies. Our legality guide covers India in detail.

  • An audit trail per document. The audit trail PDF shows the document ID, sent and completed dates, and when each signer was emailed, viewed and signed.
  • Only participants can open a document. Client strategy, pricing and findings are visible only to the sender, signers and observers.
  • Encryption in transit and at rest. Documents travel over HTTPS/TLS and are stored in encrypted cloud storage — see eSignature security.
  • Aadhaar eSign in India. For Indian clients, Aadhaar eSign adds OTP verification through eMudhra and a PKI-signed PDF with a SHA-256 document hash and an evidence certificate.

Apply your firm’s own retention and confidentiality obligations to the signed copies and audit trails you download.

How to send a statement of work for signature

  1. Upload the statement of work

Upload it as a PDF or Word file, or import it from Google Drive, Dropbox, OneDrive or Box.

  2. Add the signers

Choose Set signer order and add the client’s sponsor, then procurement, then your engagement partner. Add the engagement manager as an observer.

  3. Place the fields

Add Signature, Designation and Date fields for each signer, and Initials on the pages with fees and payment terms.

  4. Send

The first signer is emailed a Review & Sign Document link; each of the others is emailed automatically when it is their turn.

  5. Receive the signed copy

When the last signer signs, everyone receives the signed PDF and the audit trail is ready to download.

Frequently asked questions

Yes. Add each approver as a signer — there is no limit on signers per document — and use Set signer order so each is emailed in turn.

No. Clients sign as guests from the email link after accepting an electronic-records consent screen, with nothing to download.

Add them as an observer. Observers receive updates on the document’s progress but have no fields and never block completion.

Void the document. The signer is told it was cancelled and the link stops working, so the old version cannot be signed. Then send the corrected change request.

Yes. A user can delegate their signing to a colleague in the same organisation, who can then sign on their behalf. The delegate is notified.
